This resource guide was developed for beginners to better understand and work with Microsoft PowerPoint. These are just a few of the most commonly asked questions I receive working with end users. I hope this helps.
PowerPoint for Beginners | Tips & Tricks
1. Slide Layouts:
- Select the slide.
- Navigate to the ribbon and select the Layout dropdown from the slides section.
- Choose a layout template or select Blank to create your own design.
2. Set Background, Use Image as Background, and Use Design Themes:
- Navigate to the ribbon and select the Design tab.
- From the themes section, select a preset theme or click the dropdown arrow to view all themes.
- Select a variant option to customize the colors and design.
- Click the Designer button (if available) for advanced design options.
- To use a custom image as the background:
- Navigate to the ribbon, select the Insert tab, and click Pictures.
- Select This Device and locate the image on your computer.
- Attach and set it as the background.
3. Add Text Content (Text Box and WordArt):
- Navigate to the ribbon and select the Insert tab.
- To add text:
- Select the Text Box button.
- Type in your text and adjust size, color, and font style as needed.
- To add WordArt:
- Select the WordArt button.
- Choose a style and customize as needed.
4. Add Hypertext Links:
- Copy the URL from your web browser.
- In PowerPoint, add a text box where the link should appear.
- Paste the URL into the text box.
- To hyperlink specific text:
- Highlight the text.
- Right-click and select Link.
- Paste the URL in the address field and click OK.
5. Add Media Content (Videos and Images):
- Navigate to the ribbon and select the Insert tab.
- To add an image:
- Click Pictures and choose From Device, Stock Images, or Online Pictures.
- Resize and position the image.
- To add a video from your device:
- Click Video and select This Device.
- Locate and insert the video file.
- Resize and position the video.
- To add a YouTube video:
- Click Video and select Online Videos.
- Copy the YouTube link and paste it into the dialog box.
- Click Insert and position the video.
6. Duplicate and Delete Slides, Hide and Unhide Slides:
- To duplicate a slide:
- Right-click the slide in the slides pane.
- Select Duplicate Slide from the dropdown menu.
- To delete a slide:
- Right-click the slide in the slides pane.
- Select Delete Slide from the dropdown menu.
- To hide a slide:
- Right-click the slide in the slides pane.
- Select Hide Slide.
- To unhide a slide:
- Right-click the hidden slide and select Hide Slide again.
7. Add a Transition and Animation:
- To add a transition:
- Select the slide.
- Navigate to the ribbon and select the Transitions tab.
- Choose a transition style and adjust Effect Options.
- To add animation to an object:
- Select the object on the slide.
- Navigate to the ribbon and select the Animations tab.
- Choose an animation style and adjust Effect Options.
- Set timing to On Click, With Previous, or After Previous as needed.
8. Add Notes to Slides:
- Open the slide where you want to add notes.
- At the bottom of the window, click Notes (or navigate to View tab > Notes).
- Type your notes in the Notes pane below the slide.
9. Start a Slideshow Presentation:
- Navigate to the ribbon and select the Slide Show tab.
- Click From Beginning to start from the first slide or From Current Slide to start from the selected slide.
- For multiple screens, enable Presenter View to view notes while presenting.
10. Top 10 Shortcut Keys:
- Ctrl + M: Add a new slide.
- Ctrl + D: Duplicate a selected slide or object.
- Ctrl + Z: Undo the last action.
- Ctrl + Y: Redo the last action.
- F5: Start slideshow from the beginning.
- Shift + F5: Start slideshow from the current slide.
- Ctrl + G: Group selected objects.
- Ctrl + Shift + G: Ungroup objects.
- Ctrl + P: Draw on slides during the slideshow.
- Ctrl + K: Add a hyperlink.
